City Hall can seem quiet from the outside, but the work of the City Clerk’s Office is anything but.

City Hall can seem quiet from the outside, but the work of the City Clerk’s Office is anything but. Each day, this dedicated team supports the City’s legislative decision‑making process while serving as the steward of its records and information from overseeing bylaws and policies to managing information governance and protecting privacy.

The City Clerk’s Office also provides administrative support to the Mayor and City Councillors so elected officials can carry out their duties effectively and transparently. The staff in the City Clerk’s Office play a central role in ensuring democracy in action.

When City Council or one of its committees meets, the Clerk’s Office is there from start to finish. They prepare the agenda, record every motion and decision and confirm votes are accurately captured. These records are not just notes; they are the official history of the community. Years from now, someone may rely on them to understand why a decision was made or how a policy came to be.

In managing records and agendas, the team safeguards sensitive information and ensures compliance with privacy legislation, balancing openness with the protection of personal data. Data governance is another key area of focus, with accurate and secure records maintained so Council, residents and future generations can confidently rely on the information provided.

Outside the Chamber, on any given day City Clerk’s staff respond to a steady stream of resident questions.

  • How do I request a public record?
  • When will Council debate a specific issue?
  • How can I speak at a meeting?
  • How do I invite my Councillor to an event?

Some interactions last only minutes, while others involve walking someone through a complex process step by step. The focus is on helping residents and City staff navigate civic processes with clarity and confidence.

The City Clerk’s Office also plays a key role during election years. The team plans and administers elections, from overseeing nomination papers, training election workers and safeguarding ballots, the City Clerk’s Office helps protect the integrity of local democracy. Much of this work happens quietly, but it is critical to maintaining public trust in the democratic process.

By the end of the day, decisions have been documented, records filed and future meetings set in motion. This department may not make headlines, but the City of Saskatoon’s Clerk’s Office serves as the City’s official institutional memory and legal compass.

So next time you read a Council agenda or search past decisions online, know there is a talented team behind it all, committed to accuracy, fairness and keeping civic processes at the City of Saskatoon open and accessible for everyone.
